Data Privacy Statement
§ 1 Information on the collection of personal data
(1) We would like to inform you below about how your personal data is collected when you use the “Exchange of Experiences” site on Prevention Forum+. Personal data is all data that personally refers to you, e.g. name, address, email addresses, user behaviour.
(2) The data controller within the meaning of Article 4.7 of the EU General Data Protection Regulation (GDPR) is

(3) When you contact us by email or through the contact form available on the website, we will collect the information you provide (your email address, first name and surname) to answer your questions. This data shall be stored on the basis of Article 6.1 a) of the GDPR. We shall immediately delete any data you provide as soon as your query has been fully processed, provided storage is no longer necessary.
(4) When you register on the “Exchange of Experiences” website, we will save the data you share (your name, title, phone numbers and organisation information), in order to create a user account for you with the relevant information. This user account will provide you with:

Access to one or more specialist digital workspaces;

Information from cooperation partners, e.g. national events;

Access to open digital workspaces, e.g. the “Forum”.
The data you provide on the “Exchange of Experiences” platform shall also be visible to other registered users, so that they may get in touch with you. This data shall be stored on the basis of Article 6.1 f) of the GDPR.
Once your access to specialist digital workspaces has expired (e.g. if a workspace has been deleted or archived, or if participation in a work group has ended), your access to Prevention Forum+ shall be automatically deactivated within 24 hours. In such cases, you shall no longer have access to the other information and open workspaces provided by Prevention Forum+. Your personal data (name, email address, organisation) shall then only be visible to web administrators. Deactivated members shall be deleted by the end of the following calendar year at the latest.
Digital workspaces may be archived at the request of a group’s leader(s). In such cases, web administrators will only be able to see the name of the group. Once groups have been archived, group leaders shall have up to 5 years to reactivate them if necessary, e.g. if a task force has been reactivated.
Workspaces may also be directly deleted at the request of group leaders. Once a work group has been deleted, all data contained therein shall also be deleted and cannot be restored.
§ 2 Collection of personal data when visiting our website
(1) If you would only like to use the “Exchange of Experiences” platform for purely informational purposes, i.e. if you do not provide us with any other information via email, through the contact form or by registration, we will only collect the personal data that your browser transmits to our server. If you wish to view our website, we shall collect the following data, which is technically necessary for us to display our website and ensure its stability and security (this data shall be collected on the basis of Article 6.1 f) of the GDPR):

Time zone difference from Greenwich Mean Time (GMT);

Content of your enquiry (concrete page);

(2) When you use the “Exchange of Experiences” platform, we shall also record:

Date and time of your activity (e.g. uploading of documents, comments).

Files and comments.

(3) Employees at Viadesk GmbH and Prevention Forum+ shall only access workspaces after consulting with the persons concerned, e.g. to resolve support enquiries. The employees involved in processing at Viadesk GmbH and Prevention Forum+ are registered.
(4) Prevention Forum+ does not use Cookies.
(5) In order to carry out statistical analysis, activities and page view figures are recorded and stored separately for each workspace in the “Exchange of Experiences” area. This analysis may be carried out by workspace leaders. Data from closed groups shall not be analysed by employees at Prevention Forum+ or Viadesk GmbH.
§ 3 Your rights
(1) You have the following rights with respect to the personal data concerning you:

Right to data portability;
(2) You also have the right to lodge a complaint with a data protection supervisory authority regarding the way we process your personal data. The supervisory authority responsible for you depends on your place of residence. There is a supervisory authority for each federal state.
